The next stage of the Print, Post and Digital Delivery project has now arrived!
We've started working with our new supplier Xerox who will supply our Print and Post facility. Xerox were appointed after a detailed procurement, we’re excited to be working with such an experienced supplier that can provide our users with an intuitive, efficient system.
The origins of the project started nearly four years ago, we had no Print and Post supplier, all mail was processed through the Mailroom. At this time around 1 million pieces of mail left the council being physically printed and packed by hand in-house, a hugely demanding task!
Since the implementation of the first Print and Post software, the use of physical mail has dropped to around 700k as people strive to use more digital methods.
The restrictions on working in a physical office during the pandemic meant we were able to drive the project ahead and prevent disruption to Council services. Now the majority of mail, 600k, is sent via our software.
Hybrid Mail works by sending a digital version of the document to Xerox, who have multiple production centres. These centres use large machinery which prints, encloses then sorts the letters ready for posting. This factory-like process allows us to benefit from many efficiencies, not to mention a reduction in cost.
The next phase of the Print and Post project is just starting, over the last few weeks we have been installing the software on our network, defining, and configuring the system and will shortly begin testing.
The Clean Air Zone team will be the first to transition from our existing users, with all users moved by October 2022
