Insurance Claims Privacy Notice
The purpose of processing
The Insurance section arranges insurance cover and handles claims to protect employees, Council assets and its financial standing against the impact of claims from members of the public. Claims may be managed in-house or claim details passed onto Council’s Insurance providers or Loss Adjusters.

How is it used?
To manage and handle all claims against the Council. Contact information is required so that we can correspond and liaise with the claimant. This information is also used for the prevention and detection of fraud under the National Fraud initiative (NFI). Injury claims and large property damage claims are passed to the Council’s insurance providers who will investigate and correspond with the claimant direct. For claims involving minors a date of birth is required as a claim can be resubmitted up until 3 years after their 18th birthday, this information will be held until after this deadline has passed. For injury claims, Medical reports will be requested from GPs and consultants to establish the nature of the injury and if liability is established a financial figure is to be assessed and agreed.

Sharing of personal data with external recipients
Personal data may be shared with National Fraud Initiative (NFI) to prevent and detect the impact of fraudulent claims. Injury claims and property damage over £1000 are passed to the Council’s external handlers to deal with. Loss Adjusters may be appointed to investigate allegations and claims.
How long is the personal data retained by the Council?
Personal data relating to insurance claims will be held for 6 years plus the current year from notification of the claim or the incident date. In relation to injury claims involving a minor, personal data will be held for 3 years after the minor’s 18th birthday, as the claimant (minor) can re-open a claim, up until this date.
