Contract for the publishing of the `Bath & beyond' guides.

AN OPEN PUBLIC ITEM

1 SUMMARY

1.1 The 3-year contract for the publishing of the `Bath & beyond' guides came to an end with the production of the 2000 editions. The contract has been successfully re-tendered with no discrepancy between the lowest tender and the quality offered.

2 RECOMMENDATION

2.1 That Tourism Committee notes the awarding of the contract.

3.1 Financial:

3.2 Staffing: Staff of the Tourism Bureau co-ordinate the production and distribution of the Guides.

3.3 Equalities: The job was put out to tender in accordance with Council guidelines.

3.4 Economic: The `Bath & beyond' guides generate substantial new business for the local economy.

3.5 Environment: The printers were required to produce a copy of their environmental policy.

3.6 Council Wide Impacts: These publications incorporate the whole of Bath & North East Somerset.

4 BACKGROUND AND LEGAL FRAMEWORK

4.1 At its meeting of 25th January 2000, Tourism Committee approved the tendering and awarding of the design contract, incorporating the print and repro. management of `Bath & beyond' and its overseas version for a 3-year term on the basis that consultation took place with the Spokespersons and a report was presented to the next meeting of Tourism Committee.

4.2 Following Council guidelines the contract was put out to tender and three companies/partnerships were shortlisted to do a presentation to Spokespersons demonstrating their skills, experience and approach.

4.3 On this occasion, the lowest tender was accepted and the contract awarded in consultation with the Spokespersons to a local company, Sheard & Hudson.

4.4 Legal Services have drawn up the contract, which safeguards the Council's interests and confirm that the recommendations contained in the report to Tourism Committee of 25th January were duly carried out in a valid manner.

5 CONSULTATION

5.1 This report was sent to the Trades Unions for comment on 14th January 2000. No comments were received.

5.2 Legal Services and the Contracts Auditor were consulted throughout the process.
