Bath Library + Information Centre

Notes for exhibitors & hirers

Large numbers of people visit Bath Library + Information Centre.  So many organisations wish to take advantage of the Library Gallery & Exhibition Room.  Based in the Podium in the centre of Bath, it's an ideal location to reach a wide cross section of the public.

Exhibitions of a general cultural or community nature are welcome (in the broadest sense), subject to the availability of  space & facilities. Please note exhibitors should refrain from promoting causes at variance with Council Policy or decisions.

The library retains the right to move free-standing boards to allow for activities outside or normal hours to take place.

Exhibitions, layout and general presentation

The area of the library used for exhibitions and displays is the Gallery.  Two display cases are also available on their own, or in conjunction with exhibitions in the main area.

The Gallery will seat a maximum of 70 people.  A platform and table for speakers / performers, chairs and other equipment can also be hired. 

Exhibition organisers should aim for as high a standard of display as is possible.  The Head of Customer Service, Libraries & Information reserves the right to require the removal of any exhibition which is not to a reasonable standard or promotes variance with Bath and North East Somerset policy or decisions.

Hanging system for the gallery and display boards

Picture hanging systems are available.  The breaking strain of the nylon hangers, quoted by the manufacturer, is 50 kilos.  However it recommended that for large, heavy pictures there should only be one picture per hanger.  Two of the metal hangers provided should be used for each nylon hanger. 

For lighter exhibits there are boards which the hangers and exhibits can be fixed to with Velcro.  When using this system there should only be one item hanging on each rod.  Velcro can be purchased from the library, or exhibitors can provide their own.

Please note: under no circumstances should labels be sealed onto the wall, blue tack, drawing pins or sellotape be used.

Health & Safety during exhibitions

All organisers and hirers using the exhibition room / gallery space must sign the visitors book on arrival.  All badges must be returned to the desk, each time an organiser or hirer leaves the building.

The visitors book is held behind the Service & Information Desk and is necessary for fire regulations. 

All visitors should note the location of the fire exit routes which are clearly marked.  If the fire alarm sounds, all present should leave the building as quickly as possible, using the nearest signed route, to meet at the Assembly Point by the Hilton Hotel.

Toilets are available for all members of the library.  However when setting up & dismantling an exhibition, they will be closed.  Please note during normal Library hours these toilets will remain open to all library members.

Setting up and dismantling exhibitions

Organisers are responsible for the setting up and dismantling of their displays.  Displays should be dismantled when arranges and should be completed 30 minutes before Library closing time.

Failure to do so will lead to inconvenience for the following exhibitor and may lead to the dismantling being done by library staff.  If this becomes necessary, the Council takes no responsibility for any loss or damage.

Access to the library for the  purpose of delivery and removal of display items must be from the library loading bay via the library goods lift.  Arrangement must be made in advance, normally from 9.00am onwards.  There are time constraints on the use of the loading bay and they must be strictly adhered to.

Media coverage & publicity during events

Organisers are welcome to use the media to publicise their exhibitions.  Agreement must be reached in advance between the organisers and Bath Library over the admittance of the press, radio and television reporters and cameras.  Admittance will be refused to the media if prior agreement has not been reached.

Organisers are reminded that publicity is their responsibility.  The role of the library is limited to the displaying of appropriate publicity and the distribution to other libraries as requested.  In particular publicity within the precincts of the Podium must be negotiated with the Centre Manager at an early stage.  Publicity must not be displayed within the Podium without the permission of the Centre Manager.

Any material intended for display or distribution must be approved in advance by Bath Library.
